Impact Statement

BigSolve replaced a physical whiteboard planner with a shared Salesforce dispatch board, so office and field see the same schedule and the sales record updates itself as work is booked.

The Challenge

‍

A commercial paving contractor scheduled two crews, asphalt and concrete, on a physical whiteboard in the office. It was the only copy. Anyone in the field who wanted to know where a crew was working had to call and ask, and anyone who changed it had to be standing in front of it.

‍

The board also lived apart from the sales record. A job existed on the whiteboard and, separately, as a project in Salesforce, with the PO number, the salesperson, and the site address typed in both places. When one changed, the other quietly went stale.

‍

They needed one screen that both crews and the office could see, tied to the work already tracked in Salesforce, so a booking updated the record instead of duplicating it.

BigSolve’s Approach

The Solution

We build Salesforce experiences that are fast, intuitive, and designed to eliminate the operational clutter slowing teams down.

Summary

A month-view dispatch board inside Salesforce where booking a crew day takes one screen, and the project record updates itself as work is scheduled.

Differentiator

Every automation trigger was chosen from the client's own stage history rather than convention, so the rules fire on the events their team actually maintains.

Process Overview

Discovery

Mapped the whiteboard workflow and the existing project record to find where the same detail was being kept twice.

Design

Queried years of stage history to identify which milestones the team reliably maintains before designing any automation around them.

Build

Developed the calendar, the booking flow, and the project hierarchy with adversarial review at each stage.

Rollout

Shipped to production incrementally, then split access so schedulers can book and the wider team can view.

Results

These numbers reflect the real-world value of optimized Salesforce workflows built to remove bottlenecks and enhance operational performance.

One shared board

Both crews on one screen, visible to the office and the field at the same time.

Bookings covered by automation

Jobs create themselves from the signal the business actually maintains, rather than a status someone has to remember.

Details entered twice

PO number, project owner, and site address read through from the project, so they cannot disagree.
